Tax Season Prep for Business Owners: Complete Checklist

Tax season is here. For most people, that means stress, scrambling, and hoping they didn't miss anything important.

But not you.

You're going to be organized, prepared, and confident. And you're going to maximize every legal deduction available to you.

Here's your complete tax season prep checklist—everything you need to file accurately, on time, and with the lowest tax bill possible.


IMPORTANT DATES

Mark these on your calendar:

January 31, 2025:

  • Deadline to send W-2s to employees

  • Deadline to send 1099-NEC to contractors

  • Deadline to file 1099-NEC with IRS

March 17, 2025 (March 15 falls on Saturday):

  • Partnership (Form 1065) and S-Corp (Form 1120-S) returns due

  • OR file extension (pushes to September 15)

April 15, 2025:

  • Individual tax returns (Form 1040) due

  • C-Corp returns (Form 1120) due

  • Q1 2025 estimated tax payment due

  • OR file extension (pushes to October 15)

Don't miss these deadlines. Late filing = penalties + interest.


PHASE 1: DOCUMENT GATHERING (Do This First)

☐ Income Documents

Collect ALL sources of business income:

For Product-Based Businesses:

  • Sales receipts (cash, credit card, online)

  • Merchant processing statements (Stripe, Square, PayPal)

  • E-commerce platform reports (Shopify, Amazon, Etsy)

  • Invoice records

  • Bank deposit records

For Service-Based Businesses:

  • Client invoices sent

  • Payment received records

  • 1099-K forms (if you received payments via platforms)

  • Consulting/contract income

  • Speaking fees

  • Affiliate income

  • Any other revenue sources

For All Businesses:

  • Interest income (business savings/checking)

  • Refunds or credits from previous year

  • Business grants received

  • PPP loan forgiveness documentation (if applicable)

  • EIDL or other COVID relief funds

Create a folder labeled "2024 Income" and put everything here.


☐ Expense Documents

Organize expenses by category:

Advertising & Marketing:

  • Facebook/Instagram ads

  • Google ads

  • Print advertising

  • Website costs

  • Business cards

  • Promotional materials

  • Marketing agency fees

Vehicle Expenses (if using actual expense method):

  • Gas receipts

  • Maintenance/repairs

  • Insurance

  • Registration/licensing

  • Car washes (for business vehicle)

  • Parking/tolls

  • Auto loan interest (business portion)

OR Mileage Log (if using standard mileage method):

  • Date of trip

  • Destination

  • Purpose

  • Miles driven

  • Total business miles for 2024

Standard mileage rate 2024: 67 cents/mile

Office Expenses:

  • Rent (if renting office space)

  • Utilities (if separate business location)

  • Office supplies (pens, paper, folders)

  • Postage and shipping

  • Cleaning services

  • Furniture

  • Equipment

Technology:

  • Computer/laptop

  • Software subscriptions (Adobe, Microsoft, CRM)

  • Website hosting

  • Domain registration

  • Phone/internet (business portion)

  • Apps and tools

Professional Services:

  • Accountant/CPA fees

  • Legal fees

  • Business coaching/consulting

  • Bookkeeping services

  • Virtual assistant

  • Web designer

Insurance:

  • Business liability insurance

  • Professional liability (E&O)

  • Workers' compensation

  • Business property insurance

  • Vehicle insurance (business portion)

Travel & Meals:

  • Airfare

  • Hotels

  • Conference registrations

  • Business meals (50% deductible)

  • Uber/Lyft for business

  • Parking at business destinations

Education & Training:

  • Courses and certifications

  • Books (business-related)

  • Memberships (chambers, associations)

  • Conferences and workshops

  • Online training programs

Contractors & Employees:

  • Contractor payments (you'll issue 1099s)

  • Employee wages (you'll issue W-2s)

  • Payroll taxes

  • Benefits provided

Home Office (if applicable):

  • Mortgage interest or rent (business portion)

  • Property taxes (business portion)

  • Utilities (business portion)

  • Internet (business portion)

  • Home insurance (business portion)

  • Repairs/maintenance (business portion)

Other Business Expenses:

  • Bank fees

  • Credit card fees (merchant processing)

  • Interest on business loans

  • Business licenses and permits

  • Professional dues

  • Subscriptions (trade publications)

Create folders for each category.


☐ Asset Purchases

Major purchases made in 2024:

List anything you bought for business over $500:

  • Equipment

  • Machinery

  • Vehicles

  • Furniture

  • Computers

  • Software (if perpetual license)

For each item, collect:

  • Purchase receipt

  • Date placed in service

  • Business use percentage

  • Total cost

This is for depreciation or Section 179 deduction.


☐ Payroll Documents

If you have employees:

  • Quarterly 941 forms (already filed)

  • State unemployment records

  • W-2s (prepare and send by Jan 31)

  • Annual payroll summary

If you paid contractors $600+:

  • 1099-NEC forms (send by Jan 31)

  • Contractor W-9s on file

  • Total paid to each contractor


☐ Business Credit Cards

Download full 2024 statements for all business cards:

  • Categorize each expense

  • Separate personal charges (if any - shouldn't be any!)

  • Total annual spending per category

  • Note any large purchases for Section 179

Most accounting software can import credit card transactions.


☐ Bank Statements

Download ALL business bank statements for 2024:

  • Business checking account

  • Business savings account

  • PayPal/Venmo/Square business accounts

  • Any other payment processors

Reconcile:

  • Verify all income is accounted for

  • Verify all expenses are categorized

  • Identify any missing documentation


☐ Previous Year Tax Return

Pull out your 2023 tax return:

Why this matters:

  • Shows carryover items (losses, credits, depreciation)

  • Identifies recurring deductions

  • Helps estimate 2024 taxes

  • Ensures nothing is missed

Your CPA will need this.


PHASE 2: SPECIAL DEDUCTIONS & CONSIDERATIONS

☐ Home Office Deduction

If you use part of your home exclusively for business:

Simplified Method:

  • Measure your office space (square feet)

  • Max: 300 sq ft × $5 = $1,500 deduction

  • Easy, no complex calculations

Actual Expense Method:

  • Total square footage of home: _______

  • Square footage of office: _______

  • Business use percentage: _____%

  • Apply to: Mortgage interest, property tax, utilities, insurance, repairs

  • Usually results in larger deduction

Requirements:

  • Space used EXCLUSIVELY and REGULARLY for business

  • Principal place of business

  • Take photos of office space


☐ Retirement Contributions

Did you make retirement contributions in 2024?

Solo 401(k):

  • Employee contributions: Up to $23,000 (or $30,500 if 50+)

  • Employer contributions: Up to 25% of compensation

  • Total max: $69,000 ($76,500 if 50+)

  • Deadline: Employee by Dec 31, Employer by tax filing deadline

SEP-IRA:

  • Up to 25% of net self-employment income

  • Max: $69,000

  • Deadline: Tax filing deadline (with extension)

These are HUGE deductions.


☐ Health Insurance

Self-employed health insurance deduction:

If you paid for your own health insurance:

  • Medical insurance premiums

  • Dental insurance premiums

  • Vision insurance premiums

  • Long-term care insurance (limits apply)

This is an "above-the-line" deduction = you don't have to itemize.

☐ Children on Payroll

Did you hire your children in 2024?

If yes:

  • Total wages paid: $_______

  • W-2s issued (by Jan 31)

  • Timesheets and job descriptions on file

  • Proof of work performed

Wages paid to children under 18:

  • Exempt from FICA taxes (if sole prop or partnership with spouse)

  • Still must issue W-2

  • Child uses standard deduction ($13,850 for 2024)


☐ Startup Costs

If you started your business in 2024:

Deductible startup costs:

  • Market research

  • Business formation fees

  • Legal and accounting fees

  • Initial advertising

  • Training for new business

Limit: $5,000 in first year, remainder amortized over 15 years


☐ QBI Deduction (Qualified Business Income)

Most business owners qualify for 20% QBI deduction.

Who qualifies:

  • Sole proprietors

  • Partnerships

  • S-Corps

  • LLCs (taxed as pass-through)

Phase-out thresholds (2024):

  • Single: $191,950

  • Married: $383,900

Your CPA will calculate this, but be aware it exists.

This could save you $10,000-$30,000+ in taxes.


PHASE 3: ORGANIZATION & SUBMISSION

☐ Use Accounting Software

If you're not using accounting software yet, START NOW:

Options:

  • QuickBooks Online (most popular)

  • FreshBooks (service-based businesses)

  • Wave (free, limited features)

  • Xero (growing popularity)

Benefits:

  • Automatic categorization

  • Connects to bank accounts/cards

  • Generates reports for CPA

  • Tracks mileage

  • Creates invoices

  • Makes tax time 10x easier

Even if you start mid-year, it helps for next year.

☐ Schedule CPA Appointment

Don't wait until April 10.

Schedule NOW (January/early February):

  • CPAs are less busy

  • You get more attention

  • Plenty of time to gather missing documents

  • Can discuss strategy

  • File early, get refund faster (if applicable)

During appointment, discuss:

  • Entity structure (should you change for 2025?)

  • Estimated taxes for 2025

  • Retirement contribution strategies

  • Tax planning for next year


☐ File or Extend

Option 1: File by April 15

  • All documents ready

  • Submit return

  • Pay any taxes due

  • Done!

Option 2: File Extension

  • Use Form 4868 (automatic 6-month extension)

  • Pushes deadline to October 15

  • BUT: Extension to file ≠ Extension to pay

  • Must still pay estimated taxes by April 15

When to extend:

  • Missing documents

  • Complex tax situation

  • Need more time for planning

  • Waiting on K-1s from partnerships

Extension is fine. Just pay estimated taxes to avoid penalties.


PHASE 4: PAYMENT & PLANNING

☐ Calculate and Pay Taxes Owed

If you owe taxes:

Payment options:

  • IRS Direct Pay (free, from bank account)

  • Credit/debit card (2-3% fee)

  • Check by mail

  • Payment plan (if you can't pay in full)

Pay by April 15 to avoid penalties.


☐ Set Up Quarterly Estimated Taxes for 2025

Mark your calendar:

  • Q1 2025: April 15, 2025

  • Q2 2025: June 17, 2025 (June 15 is Sunday)

  • Q3 2025: September 15, 2025

  • Q4 2025: January 15, 2026

Calculate quarterly amount:

  • Estimated 2025 profit: $_______

☐ Create 2025 Tax Strategy

Based on 2024 results, plan for 2025:

If profit was high:

  • Consider S-Corp election

  • Hire your children

  • Buy equipment in December 2025 (Section 179)

If profit was low:

  • Focus on increasing revenue

  • Cut unnecessary expenses

  • Don't overspend just for deductions

If you're growing rapidly:

  • Increase estimated tax payments

  • Build cash reserves for taxes

  • Consider hiring bookkeeper/accountant quarterly


TAX PREP MISTAKES TO AVOID

Mistake #1: Waiting Until April 10

Why it's bad:

  • CPAs are slammed

  • Higher fees (rush charges)

  • More errors

  • Stressful

Fix: Schedule appointment in January/February.


Mistake #2: Mixing Personal and Business

Why it's bad:

  • Can't deduct personal expenses

  • Audit red flags

  • Pierces corporate veil

  • Messy bookkeeping

Fix: Separate accounts, separate cards, 100% separation.


Mistake #3: No Receipts/Documentation

Why it's bad:

Mistake #4: Not Tracking Mileage

Mistake #5: Forgetting Estimated Taxes

Why it's bad:

  • Penalties for underpayment

Fix: Pay quarterly. Set aside 25-35% of profit automatically.
